Prince Sattam bin Abdulaziz University established the Documents and Archives Center in 1430 AH, based on Cabinet Resolution No. 139 dated 4/8/1427 AH, which stipulated approval of the recommendations of the Ministerial Committee for studying how to deal with and circulate official documents in government agencies. The center aims to organize and preserve the university's official documents according to the highest administrative standards, ensuring easy access to them, protecting them, and achieving sustainability in information management. Its establishment comes as part of the university's efforts to enhance administrative governance and ensure compliance with the systems and regulations related to document management in government institutions.
Center’s Tasks
- Coordinating and integrating with the National Center for Documents and Archives to ensure proper document management and preservation.
- Indexing, scanning, abstracting, classifying, coding, preserving and maintaining the documents of Prince Sattam University and its branches, in accordance with relevant regulations, guidelines and classification and coding plans.
- Providing necessary documents, information and data to beneficiaries in accordance with the governing instructions.
- Coordinating with the relevant university departments to train and qualify staff working in the Center within the scope of their specialization.
- Managing the administrative and technical operations of the Permanent Record Committee, evaluation committees, disposal committees, and transfer committees.
- Monitoring and evaluating the implementation of document systems, regulations, and manuals by the administrative units of the university.
- Documenting the historical development of the university, including its establishment, regulations, plans, programs, projects, and administrative and procedural frameworks.
- Preparing appropriate storage facilities and ensuring the availability of suitable tools to preserve and protect documents.
- Collaborating with the relevant departments to set objective and formal standards for documents, standardize similar documents, avoid producing unnecessary documents, and coordinate with the National Center for Documents and Archives in this regard.
- Identifying the administrative and financial needs of the Center to be included them in the university annual budget.
- Preparing the Center’s annual and five-year work plans and programs.
- Undertaking any other tasks assigned within its area of expertise.
